This is a Program Support Assistant position, which is organizationally located a the Administrative and Support Services Section, Facility Management Service, VA Caribbean Healthcare System, San Juan, PR. This position will perform a series of administrative, coordinating and monitoring duties related to the Facility Management Service. Will also work with special projects as assigned for the Service.
Duties
Prepares all Initial Competency Assessment assuring that supervisors meet the established deadlines. Assure that all documents are properly file in each corresponding binder and information updated.
Prepares all Performance Appraisal for each rating period and prepare the Performance Appraisal summary assuring that supervisors meet the established deadlines.
Processes incoming and outgoing materials such as correspondence, reports, minutes, memoranda, and other forms of written communication.
Prepares personnel actions thru the WEB HR/MSS for return for duty, recruitment, resignation, termination, voluntary and disability retirements, appointments, reassignments, lose to another agency, etc. for Facility Management Service employees.
Maintains and updates the files and directives as necessary.
Assists all Contracting Officer Representative of the service in record keeping of Contract documentation, prepare and submit request for PIV cards to Security Service, etc.
Serves as the alternate Education Service Program administrator and coordinator for Facility Management Service.
Assists in the Time and Attendance of Facility Management Service employees in VATAS.
Schedules appointments, coordinates meetings, and/or schedules conferences. Provides general calendar maintenance clerical services such as maintaining calendars and recording appointments or arranging for meeting and small conference administrative details.
Follows up on Action Items received at the service and submit accordingly before the due dates.
Receives schedules, refers, and contact members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public.
Provides general clerical public contact support services such as answering the telephone, referring visitors, or providing information about the office, its functions, and standard operating procedures, as well as similar information.
Prepares report from the VA Talent Management System and assist in entering/assigning class information, data entry and maintain proper filing of all FMS data entries relation to training.

Work Schedule: Monday to Friday 8:00am to 4:30pm

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: prepares all Initial Competency Assessment assuring that supervisors meet the established deadlines. Assure that all documents are properly file in each corresponding binder and information updated. Prepares all Performance Appraisal for each rating period and prepare the Performance Appraisal summary assuring that supervisors meet the established deadlines. Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing; bending; carrying of light items such as papers, books, small parts; or driving an automobile, etc. No special physical demands are required to perform the work. Must be mentally alert in order to perform all the required administrative duties and run smooth the office even in the absence of the management.
