The Advanced MSA will provide clerical and administrative support in the coordination, care, and treatment provided to patients throughout Surgery ICC to include the Ambulatory Surgery Unit, Operating Room, Minor Procedures Suite, and other specialty care areas. The work impacts the administrative aspect of patient care, including: access, specialized scheduling/coordinating appointments, insurance information, patient processing, and customer service with a primary focus on surgery scheduling.

Duties

Performs varied and complex administrative duties of the Medical Support Assistants in the various specialty clinical areas throughout the service line. Retrieves medication profiles and patient information from the electronic medical record, as requested by the clinician. Responsible for ensuring no-show information is entered and patients are appropriately placed. Incumbent ensures patients are appropriately placed and removed from the recall reminder software. Monitors and conducts reviews of active/pending consults, appointment requests from multiple electronic sources, and secure messaging for accuracy and disposition. Coordinates administrative services for Veterans, family members, caregivers, and general public, administrative and clinical staff to ensure continuity of patient care. Ensure that all necessary health/administrative information are integrated into the electronic patient medical record by sending the documents to the scanning department when records are received, May be required to rotate among the specialty care clinic areas and work irregular tours and must have the knowledge to assume a leading role during special projects or heavy workload, for leave, vacancies, or when other MSAs are detailed to fill in other areas. Requires ability to adapt to frequent changes to VHA directives, regulations, and local policies, and constant coordination to ensure compliance and standardization associated with advanced clinic access principles. Must be able to interpret and communicate requirements of VHA scheduling directives and complete accurate scheduling responsibilities. Receives/screens phone calls in a courteous and timely manner, determines the nature of requests, and provides the information desired using privacy rules and established clinic processes. Makes wristbands for special procedures and admissions, ensuring the proper identification and accuracy. Responsible for maintaining adequate supplies and forms utilized in the processing of patients during their procedure/clinic visit/admission. The individual is cross-trained to provide back-up services for the Surgery ICC. The individual carries out additional duties or tasks that may be assigned by the supervisor to ensure efficient daily operations. Qualifications

Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Education or Training: Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR One year above high school; OR Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. English Language Proficiency: MSA's must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Grade Determinations: Below are the requirements to be found eligible for the GS-06 grade level REQUIRED EXPERIENCE: One year of experience equivalent to the GS-5 grade level that equips the candidate with the following: 1. Operate computerized programs and systems in order to enter, modify, and retrieve sensitive medical and patient identifying information (PII) into or from electronic health records, scheduling systems, and/or reports; 2. Advanced knowledge of medical terminology specific to understand medical diagnosis and procedures sufficient to communicate clinical staff instructions to patients; 3. Schedule medical appointments in a clinical setting; 4. Work independently in the accomplishment of a wide variety of duties performing patient support work; 5.Communicate effectively and professionally in person, electronically, and/or by telephone, with internal and external customers; 6. Customer service with the ability to identify customer concerns, and refer to the appropriate staff, as necessary, to ensure a satisfactory resolution. AND Candidates must be able to demonstrate all of the Knowledge, Skills and Abilities below: 1. Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met. 2. Ability to independently set priorities and organizes work to meet deadlines, ensuring compliance with established processes, policies, and regulations. 3. Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns. 4. Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care. 5. Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc. 6. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians. References: VA Handbook 5005/117 Part II Appendix G45. Medical Support Assistant Qualification Standard GS-679. The full performance level of this vacancy is GS-06. Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items, etc. No special physical demands are required to perform the work. VA provided scrubs will be worn to accommodate entering restricted surgical areas.
