The Program Support Assistant (OA) works under the immediate supervision of the Deputy Associate Chief Nursing and Patient Services. The Program Support Assistant is responsible for performing duties in a variety of functional specializations to provide information and management assistance with timekeeping and a variety office duties in planning, controlling and/or reporting on resource, education, program accomplishment and program administration.
Duties
Duties may include, but were not limited to:
Consolidates information into comprehensive documents and prepares in final form for supervisor's review.
Coordinates and monitors approved training requests for ADPCS staff through both government and non-government sources.
Reviews requests for accuracy and completeness including correctness.
Receives calls and visitors, referring only those contacts needing their attention or action.
Receives incoming mail, records suspense, collects background data, and routes to appropriate action officer.
Establishes and maintains a variety of automated and manual records systems reflecting technical and administrative data.
Prepares and compiles of a variety of reports, correspondence, and program status documents.
Prepares graphs, statistical reports, and other correspondence using various software, including word processing, electronic mail, spreadsheets, database, and graphics programs.
Maintains an extensive database of current work and backlog and initiates job order requests in the system.
Initiates PIV requests for ADPCA staff assuring accuracy and completeness.
Assists supervisor in consolidation of annual overtime budget estimates and required justifications for assigned areas.
Monitors the expenditure of funds and keeps the supervisor advised on the status of the overtime budget and alerts to the critical areas where adjustments may be required.
Prepares any required recurring and one-of-a-kind reports related to control and expenditure of unit overtime funds.
Coordinates work efforts as required with payroll/budget personnel.
Work Schedule: Monday through Friday, 7:30am to 4:30pm
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/25/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-5 position, Candidates may be advanced without time restriction to positions up to GS-5 if the position to be filled is no more than two grades above the lowest grade the employee held within the preceding 52 weeks under his or her latest nontemporary competitive appointment. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Communicating both orally and in writing to internal and external customers; Preparing reports and presenting data to different audiences; Working with time and attendance and timekeeping systems; Working knowledge of policies and procedures associated with patient flow and patient care; and Knowledge of medical terminology. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have four (4) years above high school. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Demands: Work is sedentary. Work requires sitting, standing, some walking, bending, and carrying light items such as books and files.
Work Environment: Work is performed in a typical office setting with no safety hazards in evidence.
