The incumbent serves as a Program Support Assistant in Mental Health Service. The incumbent actively participates in Mental Health Service Administration and work with all service clinical programs to include: Mental Health (MHC), Behavioral Health Integrated Program (BHIP), Post-traumatic Stress Disorder Clinical Team (PCT), Substance Abuse (SATP), Community Based Outpatient Centers, and Primary Care/Mental Health Integration (PCMHI), Neuropsychological Testing and Whole Health.

Duties

The incumbent serves as assistant to Chief of Mental Health Service and Assistant Chief of Mental Health Service providing administrative and program support. Schedules appointments on a very limited basis and only when required to assure patients have appropriate follow-up appointments upon discharge from inpatient psychiatric unit. Monitors and assists in maintaining calendars. Records meeting minutes when requested. Serves as service leadership representative at meetings when requested by Chief or Assistant Chief.Duties include but not limited to: Assists with program managers in developing and modifying over 400 service clinic profiles. Completes required detailed change and new clinic request forms and submits through chain of approval. Requires extensive knowledge of VISTA and great attention to detail. Creates and maintain forms, surveys, instruments, and materials for coordination of the different treatment programs. Provides general administrative support to MHS leadership, including writing and preparing interim reports, generating correspondence to patients, preparing formal responses to veteran and congressional inquiries, effectively communicating in writing to Director, Associate Director, Chief of Staff, service chiefs, Business Managers and Administrative Officers, and key contact staff throughout the medical center. Participates in the performance of service quality assurance activities (staff meetings, mandatory educational in-service trainings, goal sharing, improvement initiatives, etc.) and maintains records as directed for the purpose of improved overall performance. Works directly with Fiscal in tracking VERA and vesting examinations. Serves as liaison with Chief of Staff (COS) for medical staff coordination. Duties include maintaining a list of required certifications (i.e. BLS, ACLS, licensure, etc.) and assisting Mental Health leadership in the OPPE/FPPE bi-annual reviews. This includes generating appropriate forms, utilizing ACRP in VISTA to provide patient listings for each licensed provider, monitoring and tracking completion, tabulating scores, distributing to Chief of Staff by deadlines and providing copies to staff. Ensures provider listing is maintained and kept up-to-date. Assist with maintaining and updating as needed the current on-call schedules to ensure accuracy. Serves as Records Management point of contact for the service. Annually inventories paper documentation maintained by staff in filing cabinets and electronic documents stored on personal drives, service shared drive, and on the facility public drive. Completes annually mandated training for all liaisons. Continuously assures service is adhering to most current policy regarding records retention. This requires great attention to detail and knowledge of policy. Work Schedule: Monday-Friday 8:00am-4:30pm Telework Eligibility: ADHOC, as determined by agency policy. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
