About the Position: Serves as an Administrative Support Specialist within the directorate, aids the director, division chiefs, supervisors, and staff via extensive knowledge and understanding of the organization, its methods, funds, people, and other management tools. Coordinates and consults with the division supervisors on administrative matters that can affect the workforce.
Duties
Direct administrative operations of the organization to ensure the most effective support is provided to management.
Maintain organization's professional files and/or correspondence.
Inspect office program files to assure file plans and/or maintenance procedures are followed.
Ensure administrative guidelines are in accordance to the organization's guidelines, mission and/or objectives.
Oversee administrative procedures in order to detect areas in need of administrative control or refinement.
Provide guidance and/or assistance on applicable procedures and/or instructions to other personnel in the office.
Use an automated capability (i.e. Task Management Tool (TMT) or Enterprise Task Management Software Solution (ETMS2)) to manage directorate and command level suspense actions for accurate and timely responses and/or staff coordination.
Utilize an automated government travel system (ex., Defense Travel System) to coordinate, schedule, and/or advise employees on travel arrangements.
Utilize correct office protocol to prioritize/schedule events, staff actions, calls and/or visitors.
Prepare correspondence using correct format, spelling and grammar.
Requirements
- This position has a Temporary Duty (TDY) or business travel requirement of 10% of the time.
- This position requires the incumbent be able to obtain and maintain a determination of eligibility for a Secret security clearance or access for the duration of employment.
- Appointment to this position is subject to a one-year probationary period unless the appointee has previously met the requirements as described in 5 CFR Part 315.
- Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.

In order to qualify, you must meet the education and/or experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Specialized Experience: One year of specialized experience which includes, (1) Applying a variety of administrative support duties including develop briefings and reports (i.e. spreadsheets and graphs), coordinate recurring deliverables, prepare correspondence, and/or maintain records and files; (2) Interpreting regulations to implement processes, such as, employee travel (i.e. Defense Travel System), the government travel card program, etc.; and (3) Utilizing office automation tools, such as, the Task Management Tool (TMT) or Enterprise Task Management Software Solution (ETMS2), to track and coordinate suspense actions. This definition of specialized experience is typical of work performed at the second lower grade/level position in the federal service (GS-07).

Education: Master's or equivalent graduate degree or 2 full years of progressively higher-level graduate education leading to such a degree in a field which demonstrates the knowledge, skills, and abilities necessary to do the work of the position.
OR
Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide the total number of completed graduate semester hours (or equivalent) beyond the first year (total graduate semester hours minus 18) by 18. Add the two percentages.

Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-07).
