The Robert J. Dole VA Medical Center is seeking a highly qualified and motivated candidate for a Lead Medical Support Assistant position for Community Care in Wichita Kansas.

Duties
The Community Care Lead MSA position performs and oversees clerical work supporting the OCC and the treatment given to patients. The position works collaboratively in an interdisciplinary coordinated care delivery model such as a specialty setting where the team model is used. The incumbent performs such duties as, but not limited to scheduling new consults and rescheduling cancelations, validate authorizations; performs troubleshooting for providers and patients; makes calls to patients and non-VA community vendors, ensure records of community visits are obtained and consult closed appropriately.
a Maintain service mail groups, update and maintain emergency cascade lists for employees under his/her lead.
b .Monitor and make work assignments for staff under his/her lead, resolve daily workplace issues anm aintain efficient workflow, set priorities and deadlines, adjust the flow and sequencing of the work to meet service needs.
c. Participate and provide input to supervisor in problem solving on operational issues or procedures regarding internal and external consult processes, perform administrative follow up actions, participate in, and independently follow up on identified issues by sharing information, running reports, and collaborating with the leadership team and the Referral Coordination Team to assure service goals achieved.
d. Assist with all business practices that impact clinic utilization, assure coverage of all areas of responsibility, conduct ongoing reviews to ensure quality of work, ensure accurate and timely scheduling of appointments and adherence to VHA national scheduling guidelines, TMS training and business rules, ensure data captured according to Medical Center policies and VA policies.
e. Work within organizational structure to identify tasks for delegation to others, identify successes, problems, and proposed solutions to Leadership, provide guidance to staff members to include changes in policies and procedures, create and maintain employee work schedules.
f. Provide orientation and on-the-job training for new and current employees, ensure training requirements are met, organize the work structure of his/her assigned areas, act as liaison between MSA and staff to resolve minor day to day conflicts.
g. Monitor and make work assignments on Vetext and My Healthy Vet secure messaging alerts.

Qualifications

Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
Experience and Education.
(1) Experience. Six months experience of clerical, office, [customer service], or other [administrative] work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position;
OR,
(2) Education. One year above high school;
OR,
(3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable
English Language Proficiency. Lead MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).
Grade Determinations: GS 7: To meet the qualifications for the GS-07 Lead Medical Support Assistant you must meet the following: Experience. One year of experience equivalent to the GS-06 grade level AND
You must Demonstrate you meet ALL of the following Knowledge, Skills, and Abilities (KSA) below:
Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources.
Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting.]
Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.
Skill in communicating with individuals to obtain the desired effect [and coordinating with a variety of interdisciplinary care team staff]. [v.] Ability to provide staff development and training.
Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics.
Preferred Experience: Scheduling consults for Community Care and experience with internal and external consult processes, assist new staff with scheduling processes, and Vetext.
