This position is located at the Southern AZ VA Health Care Center (SAVAHCS) in the Surgical Service. The incumbent will be responsible to help support the Surgical Care Line (SCL), with main assignment to the support of the Cardio Thoracic (CT) Surgery Section and overall care line as needed. They will also provide clerical and administrative support including timekeeping, scheduling and staffing of auxiliary staff, educational tracking, and assisting with training of clinical and other staff.
Duties
Perform typing work, whether from voice recordings or written material on either a manual or electric typewriter, and/or using word processing software and equipment.
Utilize word processing software and printing equipment to produce a variety of standardized documents i.e. letters and reports.
Review documents and/or reports for completeness to enter pertinent information into an automated tracking system such as the educational tracking program, TEMPO.
Monitor/report time and attendance as required.
Prepare, maintain, review, and/or validate time and attendance reports for a variety of pay plans, types of leave and special pay situations for appropriateness of hours being charged and types of special pay being authorized.
Perform the collection, compilation, and/or tracking of data and statistical information in support of an organization's program operation.
Prepare, compose, or review correspondence prepared for obtaining or supplying information e.g. outlines and handouts for brief training sessions in use of computer software applications, Safety/Environment of Care training, and mandatory or other required training.
Compose general informational correspondence i.e. timekeeping function, letters to physicians or care givers, memorandums to employee, reports and educational tracking in the TEMPO software application, training course content and handouts.
Determine extent and tone of replies independently, e.g. factual accuracy, tone, style, and format as well as whether and to what extent certain information may be furnished.
Assist with training clinical and other staff by coordinating and/or conducting brief training sessions in use of computer software applications, Safety/Environment of Care training and mandatory or other required training.
Arrange records for storage/reference, scheduled disposition, and retrieval including the use of alphabetical, numerical, or chronological filing systems to file reports, correspondence, records, publications, regulations, directives, and similar material.
Perform clerical or technical program support work for a variety of technical and/or program specialists in support of the line programs i.e. assisting the Nurse Educator with non-clinical training, training staff on use of software applications such as CPRS, etc.
Work Schedule: Monday through Friday, 8:00am - 4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/14/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing clerical support and technical assistance with automation programs and time keeping functions for medical service.
OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite is creditable. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.

Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience..

Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work.
