The incumbent acts as the direct and key liaison between the Associate Director for Patient Care Services, medical center service chiefs, network facilities, VISN Office, Central Office, and provides a wide variety of information relative to a variety of subject matter. This position is located in the Associate Director Patient Care Services at the Danville VA Medical Center in Danville, IL.

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** This position involves a multi-grade career ladder. The major duties listed below represent the full performance level of GS-8. At the GS-7 grade level, the employee performs assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-8. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher-level work, and availability of funds. The employee in this position provides executive level administrative and secretarial services to the Associate Director Patient Care Services (ADPCS). Arranges meetings including agenda, space, time, and staff, assembles background material for agenda items and informs participants of topics to be discussed; Arranges for travel based on Executive's preferences, including airlines, hotel arrangements, travel times, and other factors as identified; Maintains a calendar of future events. Schedules appointments, coordinates meetings, and/or schedules conferences; Attends meetings, prepares meeting minutes, and follows up on action items; Assigns, reviews, and shifts clerical staff in the subordinate offices to take care of fluctuating workloads including coverage of meetings, administrative offices, or other administrative duties; Reviews minutes, policies, and other correspondences to ensure they are technically correct and in compliance with administrative correspondence rules; Reviews official correspondences, such as Congressional responses, policies, procedures, standard operating procedures, media response, and others to ensure they are in compliance with business rules, syntax, formatting, and grammar; Develops background information and prepares outlines for public speaking engagements, papers, and correspondence/reports; Obtains and monitors the use of services, supplies, or equipment for the office; and Performs other duties as assigned. EXPERIENCE: Possess at least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-6) in the Federal service? Specialized experience required for this grade level: Experience performing secretarial duties such as receiving calls and visitors, managing supervisor's calendar to include scheduling appointments and meetings, preparing agendas, recording, and distributing meeting minutes, reviewing correspondence for correct grammar, format, and typographical accuracy, making travel arrangements including airline and hotel reservations, and performing timekeeping. Note: Experience must be fully documented in your resume to be credited and must include job title, duties, month and year start/end dates AND hour worked per week. You will be rated on the following Competencies as part of the assessment questionnaire for this position: ClericalCommunicationInterpersonal SkillsManages and Organizes Information IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work is primarily sedentary with some walking to other areas of the medical center. There are no special physical qualifications, but the position involves carrying light items such as binders. Reports, and files. The work environment involves everyday risks or discomforts and requires normal safety precautions typical of such places as meeting and training rooms, libraries, or commercial vehicles. The work area is adequately lighted, heated, and ventilated. Work is performed in an office setting where many visitors to the medical center are received; these include irate patients, relatives of patients, elected officials, and employees.
