About the position: This position will be assigned to The Commons, Hanscom AFB, Massachusetts. This position is a regular, part-time position, offering a full benefits package and guaranteed 20 hours per week. The incumbent must be physically able to frequently lift or move objects weighing up to 40 pounds. Applications will be reviewed every week until close of this announcement.

Duties

The incumbent receives and relays incoming and outgoing telephone calls, answers routine inquiries and reviews and updates reservation systems (CORS, Outlook and Caterease) daily. Makes contact with customers to confirm reservations as required and ensures all needs (time/date, tables, linens, technical, food etc.) are documented and supported by Commons staff. Responsible for room setups & tear downs and for scheduling laborer for extra support if deemed necessary. Collects fees, records charges, uses Aloha system for payments and tracking, prepares appropriate cash control paperwork and makes bank deposits. Works with online systems and submits all receiving reports for individual service contracts monthly. Maintains and updates contracts and administrative files using an automated system with commercially available software; files reports, and other appropriate information required. Performs scheduled inventory of supplies, equipment, ensures stock rooms are maintained in a neat an orderly fashion. Orders supplies as deemed necessary. Prepares and submits purchase orders; ensures orders received are for the correct items and correct amounts prior to acceptance. Ensures the Commons is maintained in a neat, clean and sanitary condition. Reports facility repairs and maintenance requirements according to proper procedures. Assists in maintaining facility to meet operational standards whiles serving as alternate facility manager. Works with other staff members, contracted janitorial staff, volunteer and/or individual personal services contract personnel to support all types of Common functions to include assisting with Commons programming. Requirements

  • This position requires the incumbent to complete a background investigation with favorable results.
  • Must be physically able to frequently lift or move objects weighing up to 40 pounds. This position will require a pre-employment physical.
  • This position requires shift work to provide coverage on evenings, weekends, holidays, or special situations.

Education
