This position serves as the secretary to the Chief, Physical Medicine & Rehabilitation Service (PM&RS) and the Section Chief of the Chronic Pain Center of Excellence at the West Palm Beach VA Healthcare System. PM&R activities are widely distributed between several areas and geographic locations, which adds to the complexity of coordinating administrative tasks. This position is located at the VA Medical Center in West Palm Beach, FL.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Duties include, but are not limited to the following. The employee serves as Secretary for PM&RS. He/She accepts and supports the mission, vision and guiding principals of the West Palm Beach VA Healthcare System and the Physical Medicine & Rehabilitation Service. He/She performs assigned duties in a manner that promotes outstanding customer service and the maintenance of an environment committed to serving the veteran. The Secretary to the Chief of Physical Medicine & Rehabilitation also supports the Section Chief, Chronic Pain Management, Administrative Officer and the Rehab Supervisor the performance of a variety of administrative support duties. The Service Secretary prepares and reviews outgoing correspondence dictated by the Service Chief or supervisors for grammatical content, typographical accuracy, proper formatting, and conformance of procedural instructions (and maintain records and files for the same), ascertaining that all necessary coordination of facts have been completed in accordance with established policy. Employee reads all incoming correspondence, determining proper action, at all times, before referring to the Service Chief. The Secretary has the primary responsibility for the Service Timekeeping duties through accurately posting time and leave on a daily basis for over 55 employees. He/She ensures accuracy and proper certification by Supervisors for release to Fiscal Service, Payroll Section. Employee coordinates agendas, informational material for meetings, transcribes meeting minutes in a timely manner and distributes information to committees, workgroups, or Physicians depending on the purpose of the meeting/group involved. Transcribed minutes are often confidential and may also include medical terminology. Qualifications

To qualify for this position, you MUST meet the below requirements. TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. AND~ Specialized Experience: You must have at least one (1) full year of specialized experience equivalent to the next lower grade level (GS-5) in Federal Service, that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of a Secretary (Office Automation), GS-6 position, and that is typically in or related to the work of this position. Specialized experience includes: receiving telephone calls to the office; scheduling appointments; coordinating meetings and conferences; preparing correspondence, reports, memoranda, and other forms of written communication; preparing travel arrangements; utilizing office automation software and maintaining files. This experience must be detailed in your resume to receive credit. There is no educational substitution at this grade level. You will be rated on the following Competencies as part of the assessment questionnaire for this position: ClericalCommunicationsComputer SkillsManages and Organizes Information IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work requires some physical efforts, such as standing, walking, bending or sitting. There are no special physical demands other than lifting and carrying of light items such as files, forms and manuals.
