The incumbent serves as the principal Executive Office Assistant and confidential Secretary to the Medical Center Director, VA Northern Indiana Healthcare System, Fort Wayne, IN.
Duties

Duties include, but are not limited to the following:
Schedules meetings and maintains a calendar of appointments;
Coordinates meetings and prepares meeting minutes;
Receives incoming calls from patients, clients, staff, and others in need of information;
Receives visitors and callers for the department and routes or takes thorough messages as appropriate;
Processes incoming or outgoing mail;
Maintains files and reports;
Types a variety of documents into final form, ensuring correct grammar, spelling, punctuation, format and style;
Utilizes a range of software applications (i.e., Word, Excel, Outlook, etc.) to prepare correspondence;
Performs office automation work on personal computer utilizing multiple programs to complete documentation;
Prepares travel arrangements for staff;
Maintains office supplies and equipment;
Performs other related duties as assigned.
Work Schedule: Full Time, Monday - Friday 8:00am - 4:30pm

Qualifications
To qualify for this position at the GS-9 level, you must meet the following:
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.
PLUS
SPECIALIZED EXPERIENCE: Applicants must possess one (1) full year of specialized experience equivalent to at least the GS-8 level in the Federal service. Specialized experience is experience providing administrative support to include coordinating meetings and preparing meeting minutes; maintaining a calendar of appointments; processing incoming and outgoing mail; maintaining files and reports; receiving visitors and callers; preparing travel arrangements; and utilizing a range of software applications to prepare spreadsheet, presentations and to develop correspondence and reports.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The majority of the duties are performed in the Office of the Director, with occasional meetings in various settings of the health care delivery system and other Federal agencies. Work includes walking, sitting, standing, bending and carrying light items, Some Travel may be required. No specific physical qualifications are required.
