The primary purpose of the Program Support Assistant (PSA) position is to provide full administrative support to the Infectious Diseases Program. This position reports to the Infectious Diseases Section Chief who is aligned under the Associate Chief of Staff for Specialty Care

Duties

The incumbent will provide administrative support to the ID program which serves Veterans in all VAPIHCS clinic locations spanning three time zones and the international date line. Incumbent will assist ID physician with the Multi Drug Resistant Organism (MDRO) Program and the Outreach Program development and management VAPIHCS wide according to VHA Directive 1131. Duties and responsibilities include but are not limited to the following: Maintain and manages Infection Control policies and procedures, circulating for review by the appropriate committees prior to expiration, and routing appropriately for signatures. Prepares reports for several committees including the Executive Committee of the Medical Staff, Antimicrobial Stewardship for Pharmacy and Therapeutics Committee. Maintains a calendar of meetings, conference calls and other scheduled Infection Control or Outreach activities. Schedules conferences, coordinate meetings, attend meetings, and transcribe minutes as assigned. Participates in Systems Redesign projects, workgroups, and conference calls such as Infection Control VHA or VISN meetings to maintain proficiency in program updates and assist department with meeting required goals. Enters work orders for any equipment repair and/or information technology issues respectively. Works with SC Program Specialist in creating new clinic profiles. Submits LEAF requests for clinic cancellation. Submits LEAF forms for publication requests and/or other audiovisual items. Submits requests for purchase of equipment and supplies that are required for daily function of the Infectious Diseases Program. Maintains an inventory of the supplies. Serves as Infectious Diseases POC for Records Management. Assist with ensuring all required paper record files storage is compliant with VACO Directive on records management with regards to labeling, storage, and destruction. Serves as a point of contact for VAPIHCS staff, VISN staff, community agencies, and other stakeholders who contacts the Infectious Diseases office. Maintains a detailed knowledge of travel policies and regulations to serve as a technical resource and assist with travel authorizations, Travel Authorization Requests (TAR), and vouchers. Maintains computer skills (e.g., Microsoft Workd/Excel/PPT, CPRS, VistA, VAE, VISIO, SharePoint, etc.) and communication tools such as MS Outlook/Teams application, VTEL, WEBEX, and VANTS Line. Obtain, tracking, and trending data using Microsoft Excel and operating web-based software for data input. Retrieving and analyzing VSSC data related to metrics. Assembling and summarizing data, background information, and other materials into reports or presentation formats. Reviewing the unsigned notes and incomplete encounter reports daily and ensuring completion with the ID physicians and RN. Attains and maintains basic competencies in operation of the telephone communications and secure message systems. Participates in activities sponsored by the Health Living team and Employee Health Outreach events such as Health Fairs. Assist with TMS and CME presentations and coordination with VA Education. As part of the Administrative Support Pool in Specialty Care, the incumbent is responsible to cover during the absences of the administrative staff. The incumbent covers several of their duties including coordination of workflow, communication, and other direct interventions to the extent possible to provide seamless service delivery. Work Schedule: Monday - Friday 7:30am - 4:00pm Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/28/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your specialized experience as described below: Specialized Experience: one year of specialized experience, equivalent to at least the GS-5 level in the Federal service, that equipped me with the knowledge, skills, and abilities (KSA's) needed to successfully perform the duties of this position and that is typically in or related to the position being filled. Specialized experience includes but is not limited to: Knowledge and understanding of the principles of health care administration Knowledge of the organizational structure, policies, procedures, and regulatory guides to aid and assurance that Infection Control and MDRO program follows overall operations of the health care facility. Ability to gather and analyze factual data, drawing conclusions and recommending solutions to various work situations and requirements. Knowledge of Microsoft Office package including Word, Excel, Adobe, and PowerPoint. Familiar with and have knowledge to access and retrieve data from different software programs. Ability to communicate effectively orally and in writing. Skill in preparing reports, correspondence, proposals, and operational plans. You will be rated on the following Competencies for this position: ClericalCommunicationsComputer Skills Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is mostly sedentary in nature. It occasionally requires carrying light objects such as files, books, and papers. No special qualifications required.
