This position is located in the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), Mid Atlantic Care Network (VISN 6), Charles George VA Medical Center (CGVAMC), Asheville, in the office of the Medical Center Director.
Duties
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
The incumbent assists the Medical Center Director (MCD) with day-to-day activities, including but not limited to the following:
Coordinates and manages the Medical Center Director (MCD) calendar.
Makes scheduling decisions based on a clear understanding of the Medical Center Director's priorities.
Responsible for managing and coordinating all travel arrangements for the Director (MCD), making all necessary reservations and contact with agencies, and providing traveler with material required for meetings .
Receives all correspondence for the Executive Director and maintains a log of all incoming and outgoing actions requiring the Executive Director's action. Screens all correspondence prepared for the Executive Director's signature for clarity, completeness of reply, and grammatical and procedural correctness.
Produces agenda and accurate minutes of meetings for (e.g., Executive Leadership Board, Director's Staff meetings, Town Hall meetings, etc.) and tracks action plans and responsibility for follow-up, within a timely manner. Attends meetings, prepares minutes, and ensures their timely distribution. If scheduling priorities arise and rescheduling is needed, independently notifies committee members of the changes.
Collaborates with subject matter experts to address and resolve customer concerns as needed and determines the nature of issues to be elevated to leadership for higher-level attention or intervention.
Provide mentorship and guidance to Executive Office secretaries to foster collaboration and a mutually supportive environment.

Qualifications

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a position you must have served 52 weeks at the . The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Preferred Experience: Ability the manage and lead staff on administrative actions and processes across the healthcare system.

Specialized Experience: Applicants must have one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-08) in the Federal Service to qualify for the GS-9 position. Specialized experience is defined as clerical and administrative experience related to secretarial support for a large organization and/or in a large medical center setting. Examples may include but are not limited to: organize the work of an office and perform clerical and administrative duties; receive all correspondence; prepare travel arrangements; maintain executive schedule/calendar; meeting minutes; perform full range of secretarial and administrative duties. Physical Requirements: The work is sedentary. This position requires mobility within the facility environment and may on occasion require travel to other locations for meetings and conferences. The position may require flexible duty hours to accomplish program objectives.
