Robert J Dole VAMC is looking for a professional dependable person to fill the Secretary role for the Medical Administration Service.
Duties
The Secretary works directly for the Chief of Medical Administration Services. They may also help the Chief's subordinate staff. This position is the principal clerical or administrative support position in the office, operating independently of any other such position in the office. The duties require knowledge of clerical and administrative procedures and requirements, various office skills, and the ability to apply such skills in a way that increases the effectiveness of others. The incumbent is responsible for utilizing office automation equipment to prepare correspondence, documents, and reports. This position requires the services of a qualified typist.
The secretary receives and screens visitors and telephone calls. They escort/refer the visitors/callers to proper personnel and take messages as necessary. They receive and review correspondence for information and deadlines. The secretary personally responds to routine and nontechnical requests for information such as status of reports, suspense dates for matters requiring compliance, and similar information readily available from files. They review documents prepared for signature of or requiring coordination by management for appropriate tone; conformance with regulations, grammar, format, and special policies of the activity; and completeness of information. They return inadequate communications to originator for correction when not in conformance with known policies, or when correspondence regulations have not been followed. The Secretary compiles information for and prepares a variety of recurring and one-of-a-kind detailed reports and documents using a variety of computer software. They also use data base programs to input data and perform computations for administrative reports.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/05/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
You may qualify based on your experience as described below:
GS-6Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade, GS-05, in the normal line of progression for the occupation in the organization.
Examples of specialized experience would typically include, but are not limited to: performing general office work for at least one person, but also for additional subordinate staff sometimes; utilizing office automation equipment to prepare correspondence, documents, and reports; receiving and screening visitors and telephone calls; escorting/referring callers to proper personnel; taking messages and providing information; receiving and reviewing correspondence; screening correspondence for information and deadlines; using various functions of types of office automation systems such as word processing, databases, and graphic software; compiling information for and preparing a variety of recurring and one-of-a-kind detailed reports and documents.

Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending, carrying of light items such as papers, books, small parts; driving an automobile, etc. No special physical demands are required to perform the work.
