The Secretary provides administrative support to a designated Section Chief within the Medical Service. The Medical Services is one of the largest Services at the James A. Haley Veterans' Hospital. Assignments include, but are not limited to, answering Section phone calls, typing and transcription, scheduling a variety of meetings, preparing and maintaining office records, reports, timekeeping and a wide variety of correspondence.

Duties

Duties include but are not limited to: Receiving incoming communications and visitors Maintaining appointment calendars for the Section Chief in which he/she is assigned Provides administrative support for scheduling conference attendance, meetings with the hospital and outside organizations Serve as timekeeper for designated Time and Leave(T&L) Units Posts timecards daily and helps ensure Section Chief, or respective supervisors, is aware of leave entries, and non-leave entries, for tracking purposes. Collects data and prepares reports Ensures all necessary arrangements for travel, including scheduling of visits, hotel reservations, airline reservations, etc. are completed prior to traveling. Prepare and enters call schedules for Staff, Residents, Fellows, and Medical Students to be distributed throughout the JAHVH, Tampa General Hospital, the University of South Florida School of Medicine and H. Lee Moffitt Cancer Center and Research Institute to the Medical Service SharePoint site for respective Sections and updates changes immediately as they occur Other duties as assigned Work Schedule: Monday- Friday 7:30am-4:00pm Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/01/2023. You may qualify based on your experience and/or education as described below: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Specialized experience includes but not limited to: Answering phones and directing calls to appropriate personnel within service or to other services Maintains time-sensitive tasks using the appropriate software programs such as Microsoft Word, Excel, etc Manages all incoming and outgoing correspondence, assists in assembling documents for distribution. Will take oral dictation, transcribe from tapes or various types of handwritten drafts, which may be highly technical scientific manuscripts and taking material involving medical terminology Meets and greets all customers in a professional manner and assists in directing their inquiries to the appropriate parties OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed 4 years above high school in any field for which high school graduation or the equivalent is the normal prerequisite. This education was obtained in an accredited business, secretarial or technical school, junior college, college or university. OR, Combination of Specialized Experience and Education: Applicants may also combine education and experience to qualify at this level. You must have a combination of specialized experience and education beyond high school education as described above that demonstrates my ability to perform the duties of this position. For the GS-05, only education in excess of 60 semester hours (2 years) is creditable. Transcripts must be submitted with application if using education to qualify. Physical Requirements: The work is mostly is mostly sedentary. The employee usually sits in an air conditioned environment, behind a desk, in a conference room or in another work location within the Medical Service. The incumbent's work may require may require some walking, standing, bending, and carrying light items such as books, supplies and documents.
