This position is in the Associate Center Director's Office serving as the principal administrative support by carrying out and coordinating all the day-to-day administrative support activities; responsible for providing assistance with a variety of problems and inquiries which are received in person, telephonically, or by referral from other secretaries, receptionists or support staff in the organization; and draft correspondence, such as routine official correspondence and office reports.
Duties
Major Duties Include:
Knowledge of clerical and administrative procedures and requirements, various office skills, and the ability to apply such skills in a way that increases the effectiveness of others.
Provides clerical and administrative assistance to the organization.
Provides assistance with a variety of problems and inquiries which are received in person, telephonically, or by referral from other secretaries, receptionists or support staff.
Drafts correspondence, such as routine official correspondence, social and personal acknowledgments, congratulatory letters, acceptance letters, and routine office reports.
Maintains the manager's daily calendar, making appointments and arranging conferences and meetings without specific prior approval, based on a knowledge of the manager's schedule.
Makes arrangements for such meetings by reserving space, setting the specific time, and contacting all personnel expected to attend.
Arranges for transportation and lodging for participants.
Transmits agenda and all necessary background material to participants and advises them of the topics to be discussed.
Maintains a file of visual aids for use in presentations and making all arrangements for the presentations.
Performs typing on a computer keyboard - skill of a qualified typist is required.
Utilizes a variety of office automation systems and various software packages to accomplish work.
Text editing; file creation, maintenance, and retrieval.
Use of message, calendar, and suspense systems.
Utilizes knowledge of software utilities and function commands to manipulate text to accomplish formats, revisions, deletions, and additions.
Prepares a variety of narrative and statistical material, correspondence, reports, etc., in final form for supervisor's signature.
Uses judgment in selecting spacing; arranging material; and ensuring proper punctuation, grammar, spelling, and capitalization.
Work Schedule: Monday - Friday, 7:30am-4:00pm (subject to change based on the needs of the agency)
Telework: Ad-Hoc: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/24/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-08 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Skilled with note taking and following up on ever moving deadlines and commitments.
Skilled in prioritizing and coordinating relevant workload of multiple offices to include delegating work
Coordinating reports and information to be presented by multiple offices to ensure productive informational conferences.
Experience performing typing, organizing, filing, word processing, scheduling meetings and appointments, calendar maintenance, sorting and routing of mail, making, travel arrangements, and utilizing screening techniques for phone and visitor contact
Skilled in the operation of a variety of commonly used office equipment such as: copier, fax, transcription recorder, personal computers, and labeling machines to provide clerical and administrative support
Interpret policies or procedures to emergency situations to establish practices or procedures to meet new situations
Experience using systems such as Microsoft Word, PowerPoint, Excel, Publisher, SharePoint, and Visio. Knowledgeable on use of Adobe Pro and Acrobat, and Power Bi.

Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; driving an automobile, etc. No special physical demands are required to perform the work.
