The incumbent serves as the Program Support Assistant (PSA) to the Associate Chief of Staff for Education (ACOS/E) in the Birmingham, AL VA Medical Center, which is affiliated with the UAB Schools of Medicine and Dentistry. The ACOS/E directs the education program in this teaching institution and has overall responsibility for the TMS Domain Manager, the Program Analyst, the Education Technician, and another Program Support Assistant.
Duties
Major duties include but are not limited to:
Prepares and formats reports, spreadsheets, databases and miscellaneous correspondence using Microsoft Word, Excel, PowerPoint, Adobe Acrobat, and Outlook software programs.
Prepares Education letters and memorandums as directed.
Assembles ACLS, BLS reports using MS Excel and sends email correspondence to employees.
Tracks and sends reminders for employee's deficient in TMS mandatory training requirements.
Assists with tracking compliance and sending reminders to new employees who miss a session of New Employee Orientation (NEO).
Makes arrangements for room reservations, food, and furniture placement for NEO and other classes.
Schedules meetings and sends calendar invites using MS Teams in Outlook.
Completes and responds to correspondence for Education Service.
Participates in staff meetings, completes meeting minutes for Education Service and a variety of committees and sub-committees and submitting final version within 10 business days to the Education Service SharePoint.
Coordinates the completion of housekeeping issues in Education Service.
Coordinates the completion of Engineering work orders in Education Service.
Coordinates the completion of safety issues in Education Service.
Serves as the Education Service representative in various capacities such as HRO Champion, EIL contact, and EOC checklist contact.
Assists with information verification for tuition travel requests.
Assists in the processing of Health Professions Trainee application documents.
Serves as a the Purchasing Agent for Education Service.
Serves in a support role to Education Service staff to achieve goals.
Encourages and facilitates cooperation, pride, trust, and group identify.
Assists in managing and organizing information in TMS.
Assists with running TMS reports for Education Service.
Organizes and manages the evaluations from each New Employee Orientation.
Work Schedule: Monday - Friday 8:00am - 4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/16/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience managing reports and data; experience performing work involving collection, compilation, and/or tracking of data and statistical information; experience establishing protocols for incoming data, organizes computerized data sets and retrieves computerized data; performs basic analysis of the data and generates a variety of reports; reviews documents, reports, and/or applications for omissions and inconsistencies, and ensures data entry is complete and accurate; enters pertinent information into an automated tracking system; maintains automates system of program-specific data to track suspense's. Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; or driving an automobile, etc. No special physical demands are required to perform the work.
Work Environment: The work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meeting and training rooms, or libraries. The work area is adequately lighted, heated, and ventilated.
