The Program Support Assistant supports both the Public Affairs (PA) and Voluntary Service (VS) arms of Voluntary Services at the VA Central Ohio Healthcare System (VACOHS). The incumbent will engage in program management, administrative support and serve as the Transportation Coordinator in Voluntary Service. This position will report to the Chief of Voluntary Services and work directly with the Voluntary Services Specialists on projects and Assignments.
Duties
The incumbent will be responsible for:
assisting with soliciting, interviewing, orienting and training new volunteers
ensuring transportation needs are met. Coordinating transportation for Veterans to and from their medial appointments. Managing the paid and volunteer drivers' schedules for logged transportation needs
monitor driver training requirements
makes recommendations on Voluntary Service and Transportation policies
record monthly and annual data for tracking Volunteer Service awards
publish daily staff Shout-Out announcements via email
maintain donated items in Veteran snack closet and routinely discard expired goods
maintain record of donated funds for end of FY Annual Report
keeping contact lists up to date (Congressional Staffers, Community Stakeholders, Veteran Service Organizations, County Service Officers, etc.)
managing logistics for weekly, monthly, quarterly meetings, both virtual and face-to-face for internal and external stakeholders
create meeting agendas, complete meeting minutes and routinely update open and closed action trackers
coordinating schedules with the Chief, PAS, and community stakeholders for meet-and-greets and informal and formal Veteran events.
supporting special event planning and execution, providing multimedia support, coordinating meeting and teleconference calls and handling phone inquiries
utilizes a variety of computer functions including Microsoft Office, Excel and the internet/intranet
Work assignments will be conducted collaboratively, but with little oversight
Work Schedule: 7:30am - 4:00pm or 8:00am - 4:30pm
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework after successful completion of training period. Telework eligibility will be discussed during the interview process.

Qualifications

GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes:
Practice of standardized rules, procedures or operations to perform the full range of standard clerical assignments and resolve recurring problems; knowledge of duties, priorities, commitments, policies, and program goals of staff and department
Computer skills including Word, Excel, Power Point, Vista , and VSS, along with cash handling skills.
Use of a Timekeeping System for the collection of information on volunteers.
Communicating with the public on a day-to-day basis with volunteers, patients, and a variety of publics including news media representatives, state, and local government officials and staff
Knowledge and skill in dealing with individuals from all ages and has the ability to interpret information on age related changes.
Comprehension of service organizations' roles as well as individual volunteers' participation.
Planning and implementation of many facility wide special events with innovative and creative problem solving, sensitive to the wide range of emotions that accompany volunteers, patients.
Execution of specific rules, regulations, or procedures.
Provisioning of supplemental services through volunteers and service organizations and through programs directly benefiting the veteran patient.
Preparing statistical reports utilizing a database.
There is no educational substitution for the GS-06 level.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required. Typically, the employee may sit comfortably to do the work, however, there may be some walking, standing, bending, and carrying of light items such as papers, books, folders, etc. No special physical demands are required to perform this work.
