The Primary Purpose of the Position is: To serve as the principal office assistant, performing various administrative and clerical duties in support of the Deputy Associate Director who participates in the overall management of the Patient Care Services. Performs office automation duties such as word processing in support of the administrative and clerical work. The Organizational Location of the Position is: Associate Director for Patient Care Services.

Duties

Prepares a wide variety of recurring and nonrecurring personal and executive correspondence, reports, and other documents from information obtained from the staff, files, and other sources. Reviews and processes incoming and outgoing correspondence, reports, and other materials submitted for the Deputy Associate Director for Patient Care Services signature. Receives telephone calls, greets visitors and ascertains the nature of the calls or visits, screening those that can be handled without supervisor's help. Maintains supervisor's calendar, coordinates meeting arrangements, and schedules meetings and/or conferences including those involving staff from outside the immediate office. Performs other clerical and administrative work in support of Patient Care Services. Uses multiple office automation software with varied functions to produce a wide range of documents that often require complex formats, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets Work Schedule: Monday - Friday, 7:30 a.m. - 4:00 pm. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/16/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06 . The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: using a variety of automated systems (i.e, records management, electronic forms, electronic publications library, time and attendance, etc.) and non-automated to perform various clerical duties; reviewing and processing incoming and outgoing correspondence, reports, and other materials submitted for the D/ADPCS; receiving telephone calls; greeting visitors and ascertaining the nature of the calls or visits; screening those that can be handled without supervisor's help. AND must be able to type 40 words per minute. You will be rated on the following Competencies for this position: Computer Skills Communication Customer Service Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. May require some walking, standing, bending, climbing stairs, and carrying arid/or lifting of light items such as papers and books. No special physical demands are required to perform the work.
