The incumbent serves as the Program Support Assistant for Patient Care Services. The Incumbent will provide management with analysis of all patient care related data to include Non-VA Care, Acute Care Nursing, Primary Care, Extended Care, Mental Health and Telehealth and performance measure data, tracking/trending by facility, campus, clinic, and provider at the VA Northern Indiana Health Care System. This position is located at Fort Wayne Facility.

Duties

Performs work involving the collection, compilation, and/or tracking of data and statistical information in support of the program operation. Receives and processes documents and reports in accordance with established procedures. Reviews documents and reports for completeness and enters pertinent information into an automated tracking system. Perform database file searches and uses software applications to draw information in order to prepare/assist in preparation of reports. Prepares, executes, and/or tracks program specific information, such as overtime dollars, utilization reviews, strategic planning data, etc. Assists in the planning, review, and reporting of data/statistical results of program/project studies. Establishes protocols for incoming data, organizes computerized data sets, and retrieves computerized data. Performs a basic analysis of the data and generates a variety of reports. Performs office automation duties using such software applications as electronic mail, desktop publishing, calendar, spreadsheet, database, and/or graphics. Assists other users with regard to selection of applications, training on a variety of standard application packages, and selection of appropriate formats and procedures for each task. Integrates several types of software to generate specific working documents and forms such as spreadsheet, database, word processing, desktop publishing, graphics, and other similar products. Selects appropriate system, application, and format. Performs typing work, whether from voice recordings or written material on either an electric typewriter, or using word processing software and equipment. Word processing software and printing devices are used to produce a variety of standardized documents such as letters and reports. Monitors and reports on time and attendance. Maintains time and attendance for commonly used pay plans and types of leave, or limited special pay situations. Verifies the various hours charged on T&A reports. Forwards all reports to the Payroll for processing. Prepares, composes, or reviews correspondence prepared for the purpose of obtaining or supplying information. Provides patient/caregiver training on effective and safe use and maintenance of the Tele-health monitoring equipment. Monitors and controls business papers, correspondence, and records throughout the Service, including the coordination of action papers with office and agency staff. Maintains the correspondence control system, which monitors the receipt and distribution of correspondence. Maintains computer generated log concerning incoming and outgoing correspondence. Monitors the progress of management's reports, notes, memorandum, data, etc., to ensure their satisfactory conclusion by preparing correspondence for the specified manager and supervisor, including their communication to principals within the agency. Schedules appointments, coordinates meetings, and/or schedules conferences. Provides general calendar maintenance clerical services such as maintaining calendars and recording appointments, or arranging for meeting and small conference administrative details. Independently schedules supervisor/staff member time based on knowledge of preferences and current commitments. Maintains the appointment calendar, schedules appointments, reminds supervisor/staff members of the subject matter prior to the meeting, and makes administrative arrangements as required. Follows up to ensure observance of deadlines and coordination of internal comments and clearance. Organizes material for the supervisor. Uses MS Word or comparable word processing software to execute several office automation functions such as storing and retrieving electronic documents and files; activating printers; inserting and deleting text; formatting letters, reports and memoranda; and transmitting and receiving e-mail. Knowledge of scheduling clinical appointments, cancellation and rescheduling with Vista Scheduling Enhancement Work Schedule: Monday - Friday. 7:30 am - 4:00 pm. (Subject to change depending on the needs of the agency). Position Description Title/PD#: Program Support Assistant/PD918920 Physical Requirements: The work is sedentary. Typically, the employee sits comfortably while working; however, there may be some walking, standing, bending, carrying/lifting light items books, paper, etc. no special physical demands are required to perform the work. . The incumbent is required to answer numerous telephone calls and must have adequate eyesight and hand dexterity to allow for reading and operating a computer.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Follows up to ensure observance of deadlines and coordination of internal comments and clearance. Typing Proficiency: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
