Incumbent will serve as the Program Support Assistant in the Office of Financial Management Service at the John D. Dingell Veterans Affairs Medical Center. The PSA performs a wide range of Administrative, support, and technical duties in the direct report of the Chief Financial Offer, Assistant Chief of Finance, and the Senior Strategic Business Partner, and the Service as a whole.
Duties
Major Duties to include:
Screens visitors and telephone calls for identity, purpose of call, and relative importance in relation to availability of Staff Members
Escorts/Refers visitors to proper personnel
Reviews documents prepared for signature that require coordination by management for appropriateness, conforms with regulations, grammar, format and completeness of information
Helps maintain calendars for office managers and conference rooms, schedule appointments, arrange meetings and interviews
Coordinates and inputs maintenance and work order requests to ensure on-going operations
Prepare/adjust data for input as well as manipulate and analyze data
Develops spreadsheets, understanding, and creating data base formulas, as well as analyzing data and preparing reports
Research and/or analyzes problems, issues, or administrative/programmatic issues
Serves as office backup travel liaison, helping to make travel plans and reservations as applicable and inputs requests into the Electronic Travel System
Serves as Records Management Liaison focusing on records retention for the Finance and Human Resources Offices
Serves as primary timekeeper and posts daily attendance and leave information using the Time & Attendance module in VATAS
Work Schedule: Monday - Friday, 8:00a-4:30p

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
receiving telephone calls
greeting visitors, and responding to requests for information
collecting and analyzing data and statistical information and preparing reports based on analysis
utilizing office automation programs and software to create reports, spreadsheets, and complete assignments
scheduling appointments and coordinating meetings
utilizing computerized timekeeping software to perform timekeeping duties of an office
coordinating the distribution of documents for review and signature by various stakeholders and tracking documents for expiration dates
composing correspondence, reviewing and editing for completeness, and distributing information to targeted audience

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: Regular and recurring work is mostly sedentary involving sitting at a desk. Some physical effort such as standing, walking, bending or prolonged sitting may be required.
