You may be eligible for a 10% retention incentive 90 days after being on-board at Milwaukee VAMC.
Duties
This position is located at the Clement J. Zablocki VA Medical Center, Milwaukee, WI, in the Medicine Division.
Lead MSA duties include, but are not limited to:
Distribute and balance the workload among employees in accordance with established work flow or job specialization, assure timely accomplishment of the assigned workload, and assure that each employee has enough work to keep busy.
Keep in touch with the status and progress of work, and make day to ?day adjustments in accordance with established priorities, obtaining assistance from the supervisor on problems that may arise, such as backlogs which cannot be disposed of promptly.
Estimate and report on expected time of completion of work, and maintain records of work accomplishments and time expended and prepare production reports as requested.
Instruct employees in specific tasks and job techniques and make available written instructions, reference materials and supplies.
Give on the job training to new employees in accordance with established procedures and practices.
Maintain a current knowledge and answer questions of other employees on procedures, policies, directives, etc., and obtain needed information or decisions from supervisor on problems that arise.
Check on work in progress or spot check work not requiring review ( e. g., filing or direct services) and review completed work to see that the supervisor's instruction on work sequence, procedures, methods, and deadlines have been met.
Amend or reject work not meeting established standards, refer to the supervisor questions or matters not covered by standards and problems in meeting performance standards.
Recommend approval of leave for a few hours or for emergencies.
Monitor staffing levels to ensure appropriate coverage, especially in the absence of the supervisor. Respond to call-ins by modifying assignments, calling in alternate staff, implementing established overtime procedures, or implementing other established procedures for coverage.
Record and maintain appropriate records regarding modifications to schedules, overtime and absences.
Work Schedule: Monday thru Friday 8:00 am to 4:30 pm

BASIC REQUIREMENTS
CITIZENSHIP: Must be a United States Citizen.
ENGLISH: Must be proficient in basic written and spoken English.
EDUCATION/EXPERIENCE:
Must possess six (6) months experience of clerical, office, customer service or other administration work that indicates the ability to acquire the particular knowledge and skill necessary to perform the duties of the Medical Support Assistant.
OR
Must have successfully completed one (1) year above high school. This education must have been obtained in an accredited technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university. (TRANSCRIPTS REQUIRED)
OR
Equivalent combinations of experience and education are qualifying for entry level. (TRANSCRIPTS REQUIRED)
IN ADDITION TO MEETING THE BASIC REQUIREMENTS LISTED ABOVE, YOU MUST MEET THE GRADE REQUIREMENTS AT THE GS-7 LEVEL TO QUALIFY FOR THIS POSITION.
GS-7 LEVEL GRADE REQUIREMENTS:
Specialized Experience to qualify at the GS-7: One year of experience equivalent to the next lower grade level. To be creditable, this experience must demonstrate the knowledge, skills, and abilities associated with GS-6 MSA responsibilities. Experience at this level includes, but is not limited to: expertise in utilizing numerous advanced patient systems in support of multiple clinics involved in an interdisciplinary coordinated care delivery model; collaborate and communicate with a wide range of medical clinicians across multiple disciplines; sets priorities and organizes work to meet deadlines, ensuring compliance with established processes, policies, and regulations; communicates tactfully and effectively by phone, in person and in writing; advanced knowledge of the technical health care process including scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals as it relates to access to care; advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care to include appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.; an advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.
AND
Candidates must demonstrate the following KSAs:
1. Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties and/or community resources.
2. Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting.
3. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.
4. Skill in communicating with individuals to obtain the desired effect and coordinating with a variety of interdisciplinary care team staff.
5. Ability to provide staff development and training.
6. Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics.

NOTE: The full performance level of this vacancy is GS-07.
Physical Requirements: The work is primarily sedentary. Physical demands do not exceed those of a typical office setting. There may be some walking, standing twisting, turning, sitting, pushing, bending, repetitive keyboarding, or carrying of light items. Some positions may require sitting for long periods of time at a computer terminal typing data while talking on a telephone headset. In addition, there can be increased stress due to the intensity of a patient/customer complaint or concern.
