The position is in the Rocky Mountain Regional VA Medical Center (RMR VAMC) in the Mental Health Service. The positions acts as the administrative coordinator for accredited psychology internship, fellowship, practicum, medical students, and the residency and fellowship programs sponsored through accredited residency program at affiliate universities. Provides administrative and technical support in organization, planning, implementation, and quality management for residency/training programs.

Duties

Major Duties include, but are not limited to: Maintains regular contact with administration and staff at the VA medical center, and the various program coordinators at regional affiliate educational institutions concerning the residency/training programs. Serves as prime point of contact for the regional affiliates regarding program policies, submission of various reports, surveys to accrediting bodies, and overall goals of the program. Handles all correspondence from candidates and trainee applicants. Maintains applicant files, assists in ranking, and prepares rank order lists for submission to the national psychology internship and fellowship match program, as well as annual submissions for psychology practicum placements through Mental Health Service. Serves as administrator for Med Hub Management System, through affiliate university, monitoring residents' and students' schedules, patient logs, continuity activities, and inputs necessary information (i.e. assignment and follow-up of evaluations) on a regular basis. Acts as primary coordinator responsible for determination and assignment of weekly Mental Health Grand Rounds Schedule, establishing rotation of sub-specialities and identifying responsible staff physicians for each presentation. Orders supplies and maintains fund control data for psychology and mental health service training fund control points. Ensures reconciliations per Purchase Card Holder are done in a timely fashion. Ensures policies for internship, fellowship, practicum, medical students, and residency training programs are up to date and followed. Provides administrative coordination and the day to day operations support of the internship/residency/practicum training programs for the leadership of the mental health service under the medical center. Ensures well-functioning psychology and psychiatry medical education programs. Responsible for yearly resident credentialing through working directly with the affiliate universities. Interprets and applies regulations and procedures concerning residency/training programs. Collects, reviews, and screens all applications and supporting documentation for trainee programs based on the Program Directors' guidelines. Coordinates the scheduling and logistics for multiple committees, including Psychology Internship and Psychology Fellowship Training Committees. Provides required documentation of minutes for service meetings. Assists in research efforts of students/residents/fellows by coordinating, as needed, the submission of research abstracts to local and national research competitions. Serves as the primary communication mechanism with various public/private institutions throughout the country to retrieve and facilitate requests for verification of the training within the program. Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. Work Schedule: 8:00 am to 4:30 pm, Monday through Friday Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/21/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Examples of specialized experience would typically include, but are not limited to: developing in administrative coordination and day to day operations support of the internship/residency/practicum training programs for the leadership of the mental health service under the medical center; assisting with applying regulations and procedures and ensuring policies for residency training and other programs are up to date and followed; collecting, reviewing, and screening applications and documentation for trainee programs based on Program Directors' guidelines; completing work tasks using computer equipment and a variety of software and databases such as Veterans Health Information & Technology Architecture (Vista), computerized patient record system (CPRS), word processing and spreadsheet software (such as: Microsoft Word and Excel); preparing a variety reports and correspondence utilizing computer systems. NOTE: Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment on their resume. Specialized Experience (GS-07): You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization.
