The John D. Dingell VA Medical Center is recruiting for a Program Support Assistant. The Program Support Assistant will function in Employee Occupational Health under Specialty Service.
Duties
Major Duties - 80%
Determine reason for visit to Occupational Health: may include being aware of urgent medical conditions or emergencies.
Manage all Medical Records release:
Obtain the proper medical release paperwork for all medical records release
Release records in accordance with VHA policies and procedures
Field all telephone, fax and in person contacts with Occupational Health and follow up appropriately or make referrals for assistance in accordance with VHA policies and procedures
Manage records related to Drug-Free Workplace for Medical Review officer in accordance with VHA regulations
Schedule appointments in Occupational Health
Work with HR to expediently schedule or re-schedule pre-placement physicals and manage cancellations and urgent requests
Create scheduling spreadsheet for HR and update accordingly
Schedule all annual medical surveillance examinations (Police, Boiler Operator, Hazardous Drugs, Hearing Conservation, DEMPS, DE-CON, formaldehyde, imaging, cardiology, WAG, facility drivers, volunteer drivers and SPS) Creates and updates spreadsheet to report to Environment of Care and leadership
Schedule supervisor referred workers' comp, fitness for duty and infection control evaluations Flu compliance. Creates and updates spreadsheet of facility wide employees flu vaccination and forms
Ensure compliance with all privacy notification procedures
Enter Demographic Data into VistA as indicated (students, new hires, transfers, volunteers)
Print Cumulative Vaccination Records for Employees
Manage recordkeeping
Create, maintain, and manage all Employee Medical Files (paper charts)
Miscellaneous Duties - 20%
Obtaining and sending mail from mail room
Monitoring Office supplies and identifying maintenance needs
Entering work orders
Ordering office supplies
Managing keys and other office equipment
Arranging for new keys, equipment repairs and environmental services
Other duties as assigned
Work Schedule: Monday-Friday, 8:00am-4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/18/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. Please note there are no time-in-grade restrictions for a GS-5 position.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience with clerical and administrative procedures, and various office skills; carrying out day-to-day administrative support activities; skill in the use of a variety of computer software programs; preparing correspondence and reports utilizing computer programs such as Microsoft Word, Excel, Power Point and other software applications; managing a fast-paced office; following up on action items and time-sensitive issues with appropriate staff members. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school (Transcripts must be submitted as part of your application package. OR,
Combination: Applicants may also combine education and experience to qualify at this level. Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. (TRANSCRIPTS REQUIRED).

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is primarily sedentary but may require some carrying objects such as files/binders and computer printouts to and from meetings. Work also requires spending time performing keyboarding duties. Some walking, stooping, standing, stretching, and bending; mild to moderate lifting; work can be sedentary dependent upon work rotation assignments.
