This position serves as the principal clerical and administrative support position in the immediate organizational unit in or for which the persons assisted have responsibility, by carrying out and coordinating all the clerical and day-to-day administrative support activities which are typically required to
accomplish the work of the organization.
Duties
Major duties of this position include, but are not limited to:
Prepares and reviews correspondence, reports, and other documents.
Reviews work prepared by other clerical staff, ensuring correct grammar, spelling, capitalization, punctuation, and appropriate format in work prepared by self and others
Accurately summarizes information from files and documents when this requires recognizing which information is not relevant to the problem at hand
Accurately composes non-technical correspondence on topics such as office procedures, requests for information, and letters of acknowledgement
Presents information for use by the superior when making speeches or presentations to local community civic and welfare groups
Keeps the superiors informed of important details of the office, visitors to the office, and various events where failure to recognize significant matters might impair the effective operation of the organization
Maintains the supervisor's daily calendar, making appointments and arranging conferences and meetings
Types highly technical material, frequently sensitive material.
Records and types the minutes of the Supervisor and the staff; prepares the minutes for distribution, singling out the action items and follows up as required
Follows up on projects resulting from conferences to insure that schedules are met and reports progress to managers
Makes all travel arrangements to include itineraries, airline, rental car, hotel reservations, preparation of travel orders and vouchers
Responsible for providing assistance with a variety of problems and inquiries which are received in person, telephonically, or by referral from other secretaries, receptionists or support staff in the organization.
Work Schedule: Full Time, Monday through Friday, 8:00 am to 4:30 pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/18/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-08 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Knowledge of the duties, priorities, commitments, policies, and program goals of the staff sufficient to perform non-routine assignments.
Ability to independently note and follow-up on commitments made at meetings and conferences by staff members; shifting clerical staff in subordinate offices to take care of fluctuating workloads; or locating and summarizing information from files and documents when this requires recognizing which information is or is not relevant to the problem at hand.
Skill and ability to coordinate the work of the office with the work of other offices, and for recognizing the need for such coordination in various circumstances.
Knowledge of standard office equipment such as typewriters, copiers, fax machines, etc., to perform routine clerical and administrative functions. Skill in operating a manual or electric typewriter. Limited knowledge of PCs and software such as word processors, graphics, spreadsheets, database management systems, and communications.
Knowledge of grammar, spelling, punctuation, and required formats.
Knowledge of specialized terminology to type in final form summary reports and analyses from voice recordings.

Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; driving an automobile, etc. No special physical demands are required to perform the work.
