The Marion, IL VA Medical Center is seeking two Secretaries to support the Chief of Staff and the Associate Director's office. The purpose of these positions is to serve as the principal clerical and administrative support by carrying out and coordinating all the clerical and day-to-day administrative support activities. The incumbents of these positions will be responsible for providing assistance with a variety of problems and inquiries either in person, telephonically or electronically.

Duties

Duties include but are not lmiited to: Provides clerical and administrative assistance to the organization Receives all visitors and telephone calls to superiors. Determines nature of call or business of visitors. If business requires the attention of technical or staff specialists, decides whether the importance of business such as to require personal attention of superiors or if the visitor should be referred to the appropriate division concerned with specific subject. Controls activities schedule and reminds managers of appointments. On own initiative and discretion, establishes priorities, sets up, reschedules, or refuses appointments, accepts or declines invitations to meetings, and arranges for representation by a subordinate official when that is desirable. Reviews correspondence and documents prepared for signature of or requiring coordination by managers for conformance with regulations, grammar, format, and special policies of the installation. Obtains information required by management from various sources within the VA, requiring a comprehensive knowledge of the VA's complex organizational structure. Composes correspondence on own initiative, based on a knowledge of superiors views and desires. Typical subjects include administrative matters, letters of acknowledgement, general office and organization policies, acceptance of invitations, and cancellation of conferences. Takes meeting minutes. Composes letters, endorsements, messages, office instructions, and reports, with responsibility for sentence structure, grammar, and spelling. Makes travel arrangements. Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. Work Schedule: Monday - Friday, 8:00 a.m. - 4:30 p.m., excluding weekends and Federal Holidays Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/16/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. For a GS-08 you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience GS-07: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience with the process/procedures used to prepare letters, reports, and written communication, basic correspondence review and routine use of computer software programs such as Microsoft Word, Excel, Power Point; provide calendar maintenance; prepare meeting minutes; and follow-up on assigned action items and time sensitive issues as directed. Specialized Experience GS-08: You must have one full year of specialized experience equivalent to at least the next lower grade level, GS-07, in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but is not limited to, the composition of letters, reports, correspondence, memoranda and other forms of written communication, prepare and process a variety of recurring reports, review and edit correspondence for accuracy and completeness, provide/submit information that has been requested to ensure all due dates are met in a timely and satisfactory manner; skill in the use of a variety of computer software programs such as Microsoft Word, Excel, Power Point and other software applications, correlate data into useful formats using various computer programs; arrange and complete travel arrangements to include hotel arrangements, transportation to and from the meeting site, arrange meeting space and support arrangements; provide extensive calendar maintenance; attend meetings as required, prepare minutes and uses own initiative to follow-up on action items and time sensitive issues with appropriate staff members. You will be rated on the following Competencies for this position: Attention to DetailCustomer Service (Clerical/Technical)Manages and Organizes InformationTechnical Documentation Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; driving an automobile, etc. No special physical demands are required to perform the work.
