The Salem VA is seeking an Inpatient Lead Medical Support Assistant who will serve as a Medical Support Assistant (MSA) in the Healthcare Administration service. The selected applicant will strive to meet the needs of customers while providing clinical and administrative support to the Inpatient MSA Supervisor while supporting VA missions. Duties will be performed in an Inpatient setting.
Duties
The Lead MSA monitors and makes work assignments, provides input on performance, resolves daily workplace issues, and maintains efficient workflow.
Responsibilities includes but are not limited to:
Assuring coverage of all areas of responsibility
Conducting ongoing reviews to ensure quality of work
Ensuring accurate and timely scheduling of appointments
Providing guidance to staff members to include changes in policies and procedures
Distributing and balancing workload
Creating and maintaining employee work schedules
Orienting and providing on-the-job training for new and current employees
Ensuring all training requirements are met
Organizing the work structure of his/her assigned areas
Acting as liaison between MSA and staff to resolve day to day conflicts.

Qualifications
Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
English Language Proficiency: Per VA Handbook 5005, Part II, Chapter 3, Section A, Paragraph 3j: No person will be appointed under authority of 38 U.S.C., chapter 73 or 74, to serve in a direct patient-care capacity in VHA who is not proficient in written and spoken English.
Experience and Education: Do you have six months experience of clerical, office, [customer service], or other [administrative] work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR, Education. One year above high school; OR Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).
GS 06 Grade Determinations: One year of experience equivalent to the GS-05 grade level. Examples of experience would include but not be limited to; monitor and make work assignments, provide input on performance, resolve daily workplace issues, maintain efficient workflow, assuring coverage of all areas of responsibility; conducting ongoing reviews to ensure quality of work; ensuring accurate and timely scheduling of appointments. Candidates must also demonstrate all of the KSAs below:
Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.
Skill in communicating with individuals to obtain the desired effect, ensuring compliance with established policies and regulations.
Ability to provide staff development and training.
Ability to manage staffing requirements, manage priorities, and coordinate with staff in the unit in order to complete duties in an accurate and timely manner. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work.
Ability to review and monitor data to ensure all reports are complete and accurate
Preferred Experience:
Minimum (2) years of Medical Support clinical experience
Minimum (1) inpatient setting experience

The full performance level of this vacancy is GS-06. The actual grade at which an applicant may be selected for this vacancy is GS-06.
Physical Requirements: Work is performed in an office setting and is primarily sedentary. There is some standing, walking, bending, and carrying of items, including folders, supplies, etc. The position requires ready mobility between facility buildings and other locations as required. Incumbent must be continually alert, flexible, and sensitive to the customer needs, in control of his/her emotions, and able to respond positively and appropriately to the patients served.
