The Program Support Assistant provides clerical and administrative support for the Caregiver Support Program (CSP) within the Transition Care Service at the Kansas City VAMC. The PSA will provide a complete range of program support duties which includes customer service and coordination, data analysis and graphing, special Caregiver Support Program projects, Caregiver Support Events, and performance measures reporting.
Duties
The position provides staff support including office operations, information management, coordinates and integrates information necessary to the effective and efficient operation of the program which includes the PCAFC and the General Caregiver Program.
The CSP is a program whose primary goal is to provide clinical evidence-based services and interventions to caregivers, Veterans, and staff; provide education on caregiver issues and relevant VA benefits; provide community outreach; conduct resource development and provide evaluation/consultation on issues related to caregiving for returning service members and Veterans of all eras.
Duties include but are not limited to:
Coordinates and implements a comprehensive outreach initiative designed to facilitate the delivery of services to caregivers and their Veterans at their respective locations. Serves as the first point of contact and subject matter expert regarding questions about the program, coordination of referrals, building community partnerships, caregiver utilization, data reporting, and any other administrative support tasks required to support the program at the facility level.
Extracts data from databases regarding consult completion; analyzes, extracts and disperses to correct CSP team member for action. Upon completion of report, provides longitudinal summation data used for process improvement projects to the CSP Manager. Compiles open encounter data on daily basis in VSE and follows up with staff who have outstanding encounters. Compiles labor mapping to ensure CSP staff are aligned under CSP ALBCC. Generates CSP team clinic utilization via VSE, Vista, CPRS and review for errors, report any concerns to CSP PM.
Accepts telephone calls from Veterans and caregivers, CSP staff in the field, other VA staff, and/or community agency staff, regarding program inquiries, program concerns, etc. Incumbent obtains as much information as possible, provides information and resolves inquiries or concerns independently, when possible, prioritizes, and makes decisions regarding caller referral based on specific caller needs. Responds to Veterans and team members that have an emergent or urgent care need the same business day or within 24 hours. Provides superior customer service to our Veterans and their caregivers.
Supports CSP Manager with yearly funding requests. Coordinates TDA requests with CSP Program Manager, local fiscal department, VISN office, National CSP Program Analyst and the assigned CSP staff. Tracks program expenditures, respite utilization, etc., and ensures local program is compliant with funding updates/changes.
Functions as CSP Timekeeper.
Assists CSP staff with scheduling including entering Return to Clinic orders, managing scheduling grids, assisting with appointment reminders, etc.
Supports CSP Program Manager and team with other admin duties as needed.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/25/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Specialized Experience: GS-07 grade level - One year of specialized experience (equivalent to the GS-06 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Physical Requirements: The work is primarily sedentary and is performed by sitting, standing, bending, and stooping. Theemployee is required to obtain records from files, and carry files, manuals, and other light objects.
