Has responsibility for initiating and implementing a variety of administrative and clerical duties associated with the Spinal Cord Injury/Urology Section of Surgical Service and the Operating Rooms located within the Lithotripter Unit.
Duties
Assist in organizing and setting up lithotripter program which involves developing outlines, schedules and forms to monitor scheduling patients for admission procedures; verifying transportation; receipt, review and return of records of VA referred patients; and keeping record of patients receiving procedures. Establishes communication with the other VA facilities to coordinate referral of their patients and procedures.
Major duties of the Program Support Assistant (OA) include (but are not limited to):
Takes care of all calls referring to the OR and Anesthesia Section and Recovery Room located in Urology/Spinal Cord Injury Unit.
Orders all services needed for each day, such as blood, photographs, and x-rays. These are ordered the day before surgery. Checks with the surgeon if he/she fails to order what is needed.
Types daily operation schedule in time for duplication and delivery (12 copies).
Posts schedule in surgery and with all involved in the OR area. Revises schedule daily to reflect actual surgeons and anesthesiology and other personnel.
Enters both scheduling and post-operative data of surgical cases into computer program according to JCAHO standards.
Keeps current records on cases done by staff residents. and consultants, as well as different types of anesthesia used, amounts of blood, oxygen. plasma. and so forth, to be consolidated for monthly report.
The yearly report required by Central Office is a report of surgical procedures specific to Lithotripter Unit and is broken down into individual parts of the body. This report is prepared for the Chief of Surgery at end of fiscal year, and signed by Medical Center Director. These figures on the three reports must agree at the end of the year.
Prepares all correspondence for Head Nurse. SCI/Urology Dept. and Chief of Spinal Cord Injury/Urology Section.
Records minutes for urology in-services and for all committees that Chief, Urology Section chairs. Maintains all forms used in O.R. and Urology Section.
Types letters. memorandums, meeting minutes, schedules. and reports in final form.
Insures correct punctuation. capitalization, spelling, grammar. and conformance to style. Some typing will be transcribed from voice recordings.
Sets up data base and enters data in computer for ESWL research purposes. ESWL data will be retrieved quarterly for statistical and other research purposes. Compiles data for the Tissue Committee. Maintains files in accordance with VA Records and Maintenance Plan.
Classifies materials for file and sets up new file code systems.
Is timekeeper for Urology Section and alternate for other sections.
Collaborates with I personnel in the Cysto Clinic and substitutes for secretary to Chief Urology Section when secretary not on duty. Arranges travel for Urology personnel attending seminars and conferences.
Schedules referrals and appointments to Lithotripter Unit. Must communicate effectively with other VA Medical Centers to facilitate transportation of patients to and from Memphis VA Lithotripter Unit.
Contacts appropriate individuals to resolve problems or changes when they occur.
Records may not be received for review of VA patients.
Checks all pathological specimens to be sent to the Laboratory, checking carefully for accuracy and making sure they are handled immediately. Types SF 515 , Tissue Examination, and all cultures as necessary. Insures delivery of specimens to lab. This is done three times a day.
Initiates changes which may involve updating forms required to perform cases. Changes in scheduling transportation, admissions and procedures is expected to occur as experience shows how many procedures can be performed daily.
As program is refined, more cases will be performed daily. Referral patterns will continue to change indefinitely. This will require contacting other administrative personnel to change, schedule or cancel procedures, admissions, transportation, or add new patients to schedule.

GS-5 grade level: - Applicants may be advanced without time restriction to positions up to GS-5 if the position to be filled is no more than two grades above the lowest grade the employee held within the preceding 52 weeks under his or her latest non-temporary competitive appointment. For this vacancy, employees under the GS pay system must have held a GS-3 or higher position in the last 52 weeks to be eligible for the GS-5 grade level.You may qualify based on your specialized experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Performing duties related to retrieving statistics, preparing reports and analyzing data. Operating a personal computer, Office equipment, and various software packages to produce typed correspondence and reports, quickly and accurately.ie Electronic Medical record, word, Power Point, Outlook, Excel and Access). Producing and updating a wide range of documents that require complex formats, such as graphics of tables with text, to edit and reformat electronic drafts. Updating or revising existing databases or spreadsheets requiring the use of advanced software functions to enhance services programming. Employing knowledge of grammar, spelling, punctuation, and required format to prepare and proofread correspondence. Demonstrating a high degree of dependability, multitasking, flexibility, and accountability. Also, demonstrating an excellent telephone, customer service and interpersonal skills appropriate to dealing with Veterans, families, Caregivers, approved vendors. NOTE: Experience must be fully documented on your resume and must include job title, duties, month & year starting and ending dates AND hours worked per week.

To qualify based on education for this grade level you must have successfully completed 4 full years above high school or equivalent degree in any field for which high school graduation or the equivalent is the normal prerequisite . This education was obtained in an accredited business, secretarial or technical school, junior college, college or university. If you are qualifying on education,transcripts are required.

Combination: Applicants may also combine education and experience to qualify at this level. You must possess equivalent combinations of successfully completed post high school education as described above that demonstrates my ability to perform the duties of this position. Physical Requirements: The incumbent work requires walking throughout VA SORCC, standing, bending, and carrying items such as books, papers, and files. The work is primarily performed in an office setting where the incumbent would be exposed to communicable disease common to the clients' population. The office is adequately lighted, ventilated and appropriate temperature.
