Duties

If selected for this position, you will join a well-respected team that is responsible for supporting the Administrative Division by providing essential clerical and technical support activities. If selected you will receive formal and/or on-the-job training as needed. Typical work assignments will include: Composes correspondence such as letters, endorsements, memoranda, and electronic correspondence from records or files maintained. Composes additional correspondence from brief oral or written notes, arranging form and continuity of thought. Receives and reviews incoming mail and determines whether appropriate to call to attention of supervisor, to redirect to other organizational entities, or to handle personally by presenting response in final form. Prepares a variety of recurring and special reports, compiling data and obtaining required information. Advises internal and external stakeholders on all procedural and administrative functions related to reports. Resolves a variety of administrative problems related to staff actions and assignments. Makes arrangements for offsite events including market research of venues, reservations, food/beverage arrangements, etc., and advises of contract requirements. Verifies vendors are in SAMS. Independently responds to routine and non-technical requests for information such as status of reports, suspense dates for matters requiring compliance and similar information readily available from files. Prepares replies to general inquiries not requiring technical program knowledge, determining whether or not to release the information based upon the nature or degree of sensitivity of the data and the requester's authority to receive the information. Prepares or assists with travel authorization requests, ensuring the proper electronic approvals are attained. Prepares or assists with travel expense vouchers in a timely manner. Reviews voucher submissions to ensure necessary receipts and correct funding information are submitted. Orders office supplies and other commonly used items using Government purchase card. Initiates and reviews requisitions based on the needs of the requestors and knowledge of regulations. Maintains a system for receipt verification of goods and services, addressing outstanding orders and tracking status. Reconciles purchase card statements. In coordination with the USAO Fleet Manager, maintains Plano/Sherman government vehicles. Ensures maintenance, service, registration, and repairs are handled in a timely manner. Remains aware of new, revised, or amended directives and instructional material pertaining to administrative practices for such matters as preparation and processing of correspondence, filing of reports and forms, mail handling, etc. Provides guidance and assistance on applicable procedures, instructions and regulations. Responsibilities will increase and assignments will become more complex as your training and experience progress.

Requirements

  • You must be a U.S. Citizen or National
  • Initial appointment is conditioned upon a satisfactory pre-employment adjudication. This includes fingerprint, credit and tax checks, and drug testing. Continued employment is subject to a favorable adjudication of a background investigation
  • You must be registered for Selective Service, if applicable
  • If selected, you may be required to complete a one year probationary period.
  • You must meet all qualification requirements upon the closing date of this announcement and before placement in the position.

Qualifications

GS-05: To be eligible at the GS-5 level, you must have at least one full year of specialized experience equivalent to the GS-4 level; or four years of education above the high school level; or a combination of both specialized experience and education as explained below: Specialized Experience is defined as experience providing a variety of clerical and administrative functions such as producing written documents utilizing office automation software; obtaining information from files or general reference sources; inputting information into databases or spreadsheets; sorting and retrieving data to produce documents and reports; preparing and/or assisting with travel requests and vouchers; processing supply requests; purchasing office supplies and reconciling purchase card statements; managing company vehicles; and receiving telephone calls and visitors to the office. Combining Education and Experience: Successfully completed post high school education may be used to meet the total one year of specialized experience requirement equivalent to the GS-4 grade level. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. To be qualified, you must type at least 40 words per minute based on a 5 minute sample with three or fewer errors. (A typing test may later be required.) Interagency Career Transition Assistance Plan (ICTAP)- The ICTAP provides eligible displaced Federal competitive service employees with selection priority over other candidates for competitive service vacancies. If your agency has notified you in writing that you are a displaced employee eligible for ICTAP consideration, you may receive selection priority if: 1) this vacancy is within your ICTAP eligibility; 2) you apply under the instructions in the announcement; and 3) you are found well-qualified for this vacancy. To be well-qualified, you must satisfy all qualification requirements for the vacant position and receive a score of 85 or better on established ranking criteria.
