This position is located at the Greater Los Angeles Veteran's Healthcare System (GLA) in the Environmental Management Service (EMS). This position serves as the Secretary and the principal administrative support to the Environmental Management Service Chief.
Duties
Major Duties:
Receives and screens telephone calls and visitors
Maintains the Director's calendar and schedules appointments and meetings
Males arrangements for large meetings or conferences
Reserves meeting rooms
Provides assistance for a variety of problems and inquiries
Performs a variety of administrative tasks associated with maintaining and supporting the work performed within the organization
Reviews all outgoing correspondence
Accurately prepares documentation for executive approval
Utilizes a computer to prepare forms, reports, and narrative documents
Collects daily pest control reports
Receives assignments and monitors externally and internally generated correspondence and inquiries
Organizes material suspense files
Monitors progress of management reports, notes, memoranda, data, supplies
Prepares briefing slides for staff meetings
Effectively communicates and provides accurate information
Displays a helpful, positive and proactive attitude toward internal and external customers
Obtains information required by management from various sources within the VA
Responsible for the preparation and submission of time sheets
Other duties as assigned
Work Schedule: Full time, 7:00 a.m.-3:30 p.m. Monday-Friday

Physical Requirements: The work is generally sedentary. Typically, when performing administrative tasks, the employee sits comfortably to do the work. However, aspects of the work involve walking, standing, bending, carrying of light items (up to 25 pounds), or driving an automobile, etc. No special physical demands are required to perform the work.
Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/03/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.
For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Your resume must demonstrate one year of specialized experience at the GS-06 grade level. Examples of specialized experience would typically include, but are not limited to: Assisting with administrative coordination and support for: timekeeping, calendar/scheduling coordination, travel coordination, purchase card usage, office supply management, document management, council coordination, equipment management, correspondence, action items, and customer service duties in an office setting.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
