The incumbent serves as a Program Support Assistant for the Administrative Office (A.O.), providing logistical and administrative support in the management of Primary Care Service clinical and academic programs. The incumbent works at a two-divisional teaching hospital affiliated with the University of Kentucky (UK) Medical Center at the U.S. Department of Veterans Affairs (VA) Medical Center, Lexington, Ky.

Duties

Major Duties: Serves as a service level Human Resources liaison. Submits and updates service personnel files by submitting SF52's through Web-HR. Assist management with compiling and submitting recruitment packages for vacancies. Timekeeping for the Primary Care office, Primary Care providers, Fee Basis providers, HPDP, Optometry service, and any other services assigned to the Primary Care T &L's. Gathers information for orders and identifies problems and issues via communication with Logistics service and outside vendors. Provides both ongoing as well as one-time data used by the Primary Care service Office. This includes pulling data from Vista, VCCS, CPRS, and the data warehouse. Serves as the ADP AC for Primary Care service and as will be knowledgeable about packages used by Primary Care clinicians and support staff. These packages include but are not limited to CPRS, clinical reminders, and recall. The incumbent will be responsible for requesting computer access, troubleshooting computer problems, and assisting with training of staff regarding computer issues. Have working knowledge of administrative and clinical programs used in Primary Care such as scheduling packages, recalls, clinical reminders and CPRS. Provide support to activities associated with environment and facilities management including performing the annual equipment inventory; compiling and requesting the annual equipment request; performing follow up associate with environment of care or safety rounds; assisting with activities involving construction, space modification, or activation of new space. Serve as a data mining resource, generating reports and pulling data regarding workload, recall, etc. Reports may be pulled from Vista, VSSC, Data Warehouse, and various other sources. Performs any other duties as assigned. Work Schedule: Monday through Friday, 08:00 am to 4:30 pm Telework: Ad-Hoc (VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/28/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: : administrative support duties; Microsoft Office email and spreadsheet systems; possessing an understanding of medical terminology; retrieving files; maintaining calendars, appointments and schedules; maintaining time and attendance records; coordinates meetings and scheduling conferences; establishing and maintaining an efficient filing and reference system for all files; using automated data processing equipment to generate a variety of reports; typing letters, memos, reports, etc. in final form; customer service; processing incoming and outgoing materials such as correspondence, reports, and other forms of written communication; establishing priorities and setting deadlines. Proficiency Requirement: Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency 40 words per minute typing speed. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
