About the Position:
Located in a high profile, fast paced environment. Must have exceptional interpersonal skills and professional demeanor. Focal point for executive administrative actions, inquiries and correspondence. Coordinates and controls clerical and administrative work, not only in the immediate office, but in a significant number of subordinate offices. Telework: Situational in accordance with agency policy.
Duties
Manage multiple calendars of senior executives, to include coordinating schedules with attendees, booking meeting rooms, setting up conference calls, distributing invitations, and managing associated documents.
Performs a wide variety of office management and administration duties to ensure smooth and efficient operation of the office.
Serves as liaison between the Commander and Staff personnel by providing accurate, timely advice on procedures, reports, requirements, and other matters necessary to implement the Commander's policies, directives, and instructions.
Reviews correspondence and documents prepared for signature of or requiring coordination by the Commander for conformance with regulations, grammar, format, and special policies of the deputy command.
Coordinates clerical and administrative work, not only in the immediate office, but in a significant number of subordinate offices.
Makes necessary arrangements for travel, arranging schedule of visits, making transportation and hotel reservations, notifying organizations and officials to be visited of schedule and submitting travel vouchers and reports.
Receives high-ranking visitors from both the military and civilian communities, in person and telephonically.
Develop briefing materials or presentations for leadership utilizing office automation software (e.g. Microsoft Office).
Initiate and download time and attendance, answer employee inquiries on time and attendance and payroll issues.
Requirements
- Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.
- This position requires the incumbent be able to obtain and maintain a determination of eligibility for a Tier 3 security investigation or access for the duration of employment. A background investigation and credit check are required.
- This position requires the incumbent to have tuberculosis testing.

Specialized Experience: One year of specialized experience which includes performing senior-executive administrative support functions in a fast-paced customer service environment to include interacting with inquirers over the phone and in person; maintaining multiple office calendars, preparing meeting minutes; creating and reviewing correspondence for grammar, format and regulatory compliance; using a variety of automated systems such as outlook, word, excel, or power point to generate reports, spreadsheets or briefings. Assist staff with travel arrangement (hotel, agenda, transportation) and follow up receipts. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-07).
Proficiency Required:This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5 minute sample with three or fewer errors.
