The Administrative Analyst position is located in the Department of Program Services, Court Services Office (CSO) Business Support Division (BSD). The CSO is responsible for the management of resources, programs, and services related to court administration and case management. The BSD manages budget, financial, procurement, human resources, communications, training, analytical, and administrative activities for CSO.
Duties
This position will report to the Chief, Business Support Division in the Court Services Office (CSO). The CSO is seeking a self-motivated Administrative Analyst to provide complex administrative clerical and research support to an individual or group. The work requires comprehensive knowledge of the organization or program where assigned, skill in working with issues related to correspondence management, policy, procedures, and confidential matters, and involves intensive
participation in the development and execution of business process improvements. The ideal candidate must have strong research and writing skills; experience drafting and maintaining business processes and standard operating procedures; experience handling sensitive material; excellent verbal communication skills; proven organizational and time management skills; and the ability to handle multiple and competing priorities. The incumbent may also provide administrative assistance to the office chief through means of travel coordination and calendar maintenance.
The duties of this position include, but are not limited to:
Working as a member of an administrative team to support assigned division(s) and providing back up support to other divisions; conducting administrative/receptionist duties to include proofread and edit written work product with reviewers' comments on spelling, grammar, formatting, and conformance to office and agency policies and procedures; serving as timekeeper or alternate timekeeper; and managing mail distribution, and analyze, design, and implement office-wide administrative procedures and policies.
Monitoring and enforcing correspondence procedures for office record keeping purposes; and ensuring the confidentiality, ease of transmittal and security of data and all aspects of correspondence, document management, and coordination.
Maintaining an automated tracking system using SharePoint Online for all high-level written data; routing correspondence to appropriate office (s) for completion and follow-up; monitoring deadlines of all correspondence and follows up with the appropriate party as deadlines approach; and reviewing and editing all written responses for grammatical and procedural correctness, completeness, and clarity and determine and implement the most appropriate and efficient routing mechanisms.
Providing meeting planning and preparation for internal meetings; managing coordination services to include handling logistics, assisting with scheduling, arranging space accommodations, ensuring that all necessary equipment is on hand and in working order, printing meeting materials, procuring a catering service; and understanding the agency's refreshment policy to ensure all purchases are within the pre-determined budget.
Coordinating office financial and property management operations, including working with the Procurement Analyst to oversee office supply purchases; managing equipment inventory and preparing travel authorizations ensuring office follows all relevant travel regulations and procedures related to financial operations.
Providing timely and accurate guidance on the agency's travel policy; assisting travelers in preparation of travel to include arranging travel and processing travel authorizations and storing voucher information.
Preparing and maintaining documentation of business processes and standard operating procedures.
Receiving and screening telephone calls and greets visitors; handling procedural and substantive matters and inquiries which do not require technical knowledge or refers callers to others as appropriate; and providing calendar service to include maintaining the CSO office calendar and serving as approval authority for conference room scheduling requests.
Qualifications
Applicants must have demonstrated experience as listed below. This requirement is according to the AO Classification, Compensation, and Recruitment Systems which include interpretive guidance and reference to the OPM Operating Manual for Qualification Standards for General Schedule Positions.
Specialized Experience: Applicants must have at least one full year (52 weeks) of specialized experience which is in or directly related to the line of work of this position. Specialized experience must demonstrate experience in ALL areas as defined below:
Knowledge of the proper correspondence formatting, routing, and control procedures to properly produce finished correspondence, obtain clearances, and record production;
Ability to assemble, compose, coordinate, and track information for routine reports inquires and related correspondence;
Knowledge of meeting planning and preparation and coordination techniques, providing guidance on travel policy, and coordinating office financial and property management operations;
Experience drafting and maintaining business processes and standard operating procedures;
Experience and proficiency in SharePoint Online and MS Office Suites such as Word, Excel, and PowerPoint, and capable of utilizing technical software.
