The primary purpose of the work of the incumbent is managing and promoting the development, discovery, and research use of the library’s ephemera (vertical files), microforms, and special format materials. This position is on the staff of the Collections, Exhibitions and Programs executive officer in the library’s reader services department. 

Duties

Maintains vertical files and  ephemera, microforms, and special format materials In the library's special collections. Develops strategies to enhance the research value of the vertical files collection, aligning with the National Gallery of Art's research needs, current and future. Implements policies and procedures for preservation, bibliographic control, access, and security of special collections materials. Creates and revises written manuals and procedural guides for consultation and training purposes. Prepares statistical reports. Applies and interprets established institutional and professional guidelines and standards to determine the appropriate principles, practices, and methods for use in all phases of assignments. Seeks out materials for inclusion in special collections, and discards out-of-scope items. Contributes significantly to the library’s collection development program for special collections as well as for systematic digitization of unique or important research materials. Oversees the functioning, use and maintenance of microform readers and scanning devices. Monitors special collections project workflows and use of shared equipment, spaces, and resources Provides instruction to new users and training to fellow library staff on the use of these devices. Leads in the development of web pages and presentation of web-based collections for the library, in collaboration with library staff and National Gallery web administrators and designers. Conducts orientation and instructional sessions to new readers on all library services, with particular emphasis on special collections. Responds to research inquiries, as a member of the library’s reference team. Participates in the development of  outreach strategies and programs to increase staff and public awareness of the library’s special collections resources. Performs bibliographic searches in print and electronic resources.

Qualifications

Candidates must meet the Qualification Standards Handbook requirements for the GS-1410-11. A qualified candidate's online application and resume must demonstrate at least one year of specialized experience equivalent to the GS-09 in the Federal service. Specialized experience is at least one year of experience (combined), equivalent in responsibility to the GS-9 grade level in the Federal service, performing a variety of administrative support duties for an arts-based organization. Familiarity with bibliographic description and care of library collections. Knowledge of visual arts, especially American, modern and contemporary, and research methods in histories of art. Ability to conduct reference interviews with library users at all levels of subject knowledge. Proficiency in organizational, administrative, communication, and problem-solving skills. Skills in online library systems and digital scanning.
