Provides administrative support to 4 Associate Chief Nurses over the inpatient, outpatient units (to include surgical suites at two sites), Emergency Department and medical and surgical specialty clinics at Mather, Redding, Martinez, Oakland and Fairfield, the Nurse Recruiter, 3 Nurse Educators, 7 Utilization Review Management RNs and 17 Nurse Managers/Supervisors.

Duties

Major Duties: Daily correspondence as directed/needed, manage calendars, makes appointments, receives calls, prepares material for meetings. Plans and carries out the successive steps and handles problems and deviations in the work assignment in accordance with instruction and policies. Composes complex, but non-technical correspondence, including required research of information for preparing memos from the Associate Chief Nurses, Nurse Recruiter, Nurse Educators and Nurse Managers recommending Special Advancement for Achievement, Advancement for Performance, special leave requests (FMLA/LWOP), disciplinary action files, as well as gathering information in response to questions/correspondence from the VISN, Central Office, candidate inquiries. Organizes the flow of clerical processes in the office such as screening mail, and tracking multiple suspense items. Assures timeliness of response items, responds to routine correspondence independently, and distributes other correspondence according to subject and assigns responsibilities. Reviews all outgoing correspondence originating within nursing to insure adequacy of content, proper format, proper coordination, typographical accuracy and conformance to established correspondence procedures. Provides instruction to Nurse Managers and others on regular basis. Work Schedule: Monday-Friday 8:00am -4:30pm Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/30/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of policies and procedures applicable to the control, authorization, securing and justification of office support services. Knowledge of the organization, its function and all administrative procedures. Knowledge to assist or advise on established procedures such as those for time and attendance, education, etc. Knowledge of travel regulations and procedures. Knowledge of computer programs including: EXCEL, VISTA, WORD, POWERPOINT and OUTLOOK. Preferred Experience: Must have extensive customer service, VATAS or agency timekeeping experience, and works with minimal supervision. Uses computers, software, applications, databases, and automated systems to accomplish work. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
