The Program Support Assistant is located at Phoenix Indian Medical Center in Phoenix, AZ. The purpose of the position is to perform a wide variety of administrative tasks associated with maintaining and supporting the work performed in a department or clinic. Work includes functions necessary for the efficient management of an office, department leadership team and travel coordination. There are few vacant positions within PIMC.
Duties
The incumbent receives, assesses, routes, or otherwise handles incoming and outgoing materials such as controlled or routine correspondence, reports, memoranda and other forms of written communication.
Performs office automation duties which include the preparation of recurring reports, forms, correspondence and presentation materials which include complex graphs, charts, and tabular material.
Receives, refers, and interacts with persons within and outside the immediate organizational unit including staff of other Federal organizations, private industry, and the general public.
Functions as the timekeeper for the department; timekeeping responsibilities include bi-weekly pay with some complicating factors with strict deadlines; monitors, instructs, and provides guidance to all administrative/clerical personnel.
Incumbent prepares, coordinates, and completes arrangements for department employee travel and training; gathers travel information and insures travel authorizations are processed in a timely manner.
Qualifications
To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
MINIMUM QUALIFICATIONS:
GS-06: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the GS-05 grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Creating a variety of correspondence in proper formats using word processing programs; maintaining manual and electronic calendars to add, delete, or change meetings; serving as a receptionist or point-of-contact for an office; and performing data entry into an automated timekeeping system.
GS-07: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the GS-06 grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Managing calendars and meeting schedules for higher level staff; performing specialized office task in support of a unit including screening training request; compiling information from a variety of sources to prepare reports; and preparing and submit supply requisitions according to established rules.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
