The Battle Creek VA Medical Center is recruiting for an Medical Support Assistant (Advanced). The Medical Support Assistant (Advanced) will function in the Blind Rehabilitation and Optometry Service (BR/O).
Duties
The major duties of the Medical Support Assistant (Advanced) include, but are not limited to:
Tracking and reporting of service data
Preparation of program materials and reports
Ordering and inventorying program supplies
Provides the Service administrative and technical assistance in day-to-day operations
Program planning for Veterans' individualized training programs
Outpatient program referrals
Coordination of transportation resources for blind Veterans' outpatient appointments
Assist and coordinate communication (phone, written and telecommunication) of the VISOR program with the Blind Rehabilitation Service Continuum of Care clinics, National Blind Rehabilitation Service, Blind Rehabilitation Centers and referring VIST Coordinators and BROS from across VISN 10
Preparation and compilation of medical documentation for review by the Service Chief or VISOR optometrist, urgent care, and pharmacy specialists to secure medical clearance for Veteran participation
Scheduling of Veterans into the VISOR program to include the coordination necessary to match the objectives of the Veteran treatment plan with efficient scheduling of VISOR providers
Managing and tracking admission wait times and available openings
Ensuring psychology, social work, pharmacy and recreation therapy are scheduled and available for planned Veteran sessions
Joint coordinating and scheduling hoptel admission, including second and third shift nursing support
Manages, tracks and scans all incoming and outgoing medical records and eye reports requested and received
Request and track eye and medical reports necessary for establishing VISOR services or admission to the residential program and will ensure that all necessary health/administrative information is logged, tracked and integrated into the Computerized Patient Record System (CPRS) and Blind Rehab 5.1 (BR5) programs.
Prepares correspondence to notify patients of follow-up care, normal test results, consults, etc.

Qualifications
Knowledge and understanding of VA optometry and blind rehabilitation services, the VHA Continuum of Care, and blind rehabilitation specialists such as VIST Coordinators and BROS. Knowledge of medical terminology, especially as it pertains to the eye, and the specialties making up the VISOR clinic.
Basic Requirements:
Citizenship: Citizen of the United States.
Experience and/or Education:
(1) Experience. Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR
(2) Education. One year above high school; OR
(3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).
GRADE REQUIREMENTS:GS-6 Experience. You must possess the required one (1) year of experience equivalent to the GS-05 grade level which includes but not limited to:
Operate computerized programs and systems in order to enter, modify, and retrieve sensitive medical and patient identifying information (PII) into or from electronic health records, scheduling systems, and/or reports.
Advanced knowledge of medical terminology specific to understand medical diagnosis and procedures sufficient to communicate clinical staff instructions to patients.
Schedule medical appointments in a clinical setting.
Work independently in the accomplishment of a wide variety of duties performing patient support work.
Communicate effectively and professionally in person, electronically, and/or by telephone, with internal and external customers.
Skill in customer service with the ability to identify customer concerns, and refer to the appropriate staff, as necessary, to ensure a satisfactory resolution.
Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate ALL of the following KSAs:
Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.
Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations.
Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns.
Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care.
Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.
Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.

Physical Requirements: The work of this position is primarily sedentary working closely with others or alone. There may be some walking, standing, bending, kneeling, carrying of light items under 15 pounds, reaching above shoulder, driving an automobile, etc. The work environment typically involves everyday risks or discomforts which require normal safety precautions typical of an office, meeting or training room. The work area is adequately lighted, heated, and ventilated.
The physical requirements of this position are concerned with the mental/emotional and physical ability of the incumbent to satisfactorily perform the duties of the proposed assignment and may include requisite laboratory and other screening as required by VA Directive 5019.
